PHAST Swim Team Functions/Events Descriptions (subject to change)
Prior to signing up, please consider the dates and descriptions of each committee. Each event has a budget and you will be reimbursed for items purchased for the specific event. If you have questions about your budget, please message Manami Kunz
- Triathlon - Chair (or co-chairs) and at least 12 additional helpers. Responsibilities include: Coordinate the age specific course/route, buy ribbons for 1-3 place + additional prices, ensure badges for triathlon are available, work the day of event including set-up and clean up, supervising and help with award distribution.
- Age Group Parties -2 members per age-party. Responsibilities include: advertising party to the age group, planning snacks, games and possibly a craft project for the event, and purchasing all needed party supplies. The party is a team building event for the swimmers to get to know their peers better and to foster new friendships and strengthen current ones. We discourage parties "at the movies". Must be available for the pre-scheduled party date –NO switching! The 15-18 party member must be a driver/chaperone to Santa Cruz- no exceptions. All other parties must be held at the PHA pool. The party should start on or after 12:30 p.m. and last a minimum of 90 minutes.
- Pancake Breakfast - 1 Chair and 2 members per each day. Responsibilities include: purchasing food, drinks, and supplies for three breakfasts, meal set-up, preparation, service and clean-up.
- Pasta Feed - 2 Co-Chairs. Responsibilities include: menu planning, creation of sign-up poster and publicity flyers, purchasing of all needed supplies, set-up and clean up. Execute fun pieces of the night to include pool belly flop contest, coaches' speeches, league rallying, and farewell to outgoing 15/18’s. Work with Committee chair and coaches to help plan this special event.
- Movie Night - 1 chair and 1 member. Coordinate the specific movie, create and display flyers around the pool and be available day of the event to help set-up/clean-up and run the event.

Team Photographer -1 chair. (Team Photographer / Videographer / DVD Maker)-This job requires that you have your own equipment: iphone or nice digital camera, SLR camera/s preferably with several lenses, video camera/iphone, underwater camera (optional), scanner, external hard drive to host photos and video editing software like iMovie or Final Cut Pro.
- Must be available to take photos at most events including: practices – all age levels and Emperors, swim meets, Time Trials, Backward Penguin Invitational, 12 & Under sleepover, Fourth of July Parade, spirit week, PHAST PHUN, Pasta Feed, and the DCSL League Meet, etc.
- Must be willing to blend into the background, stalk the teenage area, keep track of 200 kids and be sure they’re all included! Must be patient to wait for that special shot of a 6 & Under slurping noodles, the kids pushing a coach into the pool or a parent sporting a speedo at the PHAST PHUN meet.
- Must be able to edit, edit and edit again. It is most time-consuming at home.
- Must keep a list of “possible PHAST songs” on your phone all year long!
- Must collect photos from the Graduating Penguin families to create a tear-jerking finale!
- Optional: make a poster of 20 or so Guess Who photos for Award’s Night, make a game sheet, award a winner the DVD.
- Team Photographer Assistant- 1 member. Assists the photographer in all his/her duties. Also coordinate photos of Swimmer of the Week.

Swimtopia Manager - 1 chair. Oversees all areas of the Swimtopia PHAST website and related swim team registrations. Manager should grow into this role and be able to see gaps and fill them. Position is handled from home and mostly focuses on time spent in the new year before the swim team season begins.

- Manage Site Tabs with updated information given by the Directors.Example - Coaches Bio’s, Clinic Information, Meet Information.
- Update site with fun and timely information: Example - new photos,exciting news.
- New Family Welcoming Ambassador - 1 Chair. Responsibilities include welcoming new swim team families and introducing them to the ins and outs of swim team to make the season less stressful. Be the point person for new families if they have simple questions or concerns. Help coordinate the new family welcome event at the beginning of the season.
- Awards Night – 1 chair and 1 committee member. Responsibilities include: dessert menu planning and purchasing of all needed supplies, decorations, set-up, serving and clean up. Assist directors with Award & Trophy distribution.
- Poster Maker - 1 member. Responsibilities include: purchasing supplies and designing spirit and welcome posters for all home swim meets. Minimum sign size is 2'x4'.
- 12 & Under Sleepover - 1 Chair and 1 day of helper. Responsibilities include: planning, advertising, and supervising this overnight event, including games and breakfast.
- Buddy Program Coordinator- Chair or co-chairs. Responsibilities include: planning, advertising and creation of a sign-up poster, pairing of buddies, organizing various “buddy events” throughout the swim season, minimum of 6 "events" at meets.
- Banner - 1 member. Responsibilities include: design and make the team banner to be used at our DCSL meet; buy the materials needed for it. The person can choose to sew, glue or find other method of making the banner. Needs to be ready the weekend before Spirit Week!

Event Chair -Ready to bring the PHUN to help in overseeing party chairs and creating and executing events. Chair will need to remain in constant communication to further define and shape this role
- Oversee age group parties, movie night, and sleepover. These events all have chairs role will check in and make sure they are on time and on track and assist if necessary throughout the season.

PHAST Phun Meet Coordinator: co-chairs and 2 members
- Work with the Coaches and Directors to help plan and execute the PHAST phun meet
- Plan fun activities for the evening, including Emperor swim, ladder relays, family/friends relays
- Consider bringing back age related lip syncing or talent show

Spirit Week Coordinator
- 1 chair, 3-6 members per day depending on the activity.
- Chair will oversee, plan and execute Spirit Week at end of the season. To include daily activities, quilts hung up, trophies displayed, posters to be created and hung up at league and taken down, team area at league for inspiration, etc. The Chair does not have to be present every day, but MUST check-in with the helpers for each day and assign a lead if not available.
- DCSL Spirit Coordinator - 1 chair. Decorate an area for spirit fun, include candy for popped times, update the record board for swimmers to know if they made finals in the afternoon, have fun activities in the tent area (tattoos, stickers, buddy fun, etc)
- Backward Penguin Meet: Co-chairs and 6 members. Work with the Meet Director to put together this fun PHA Invitational Event. Include securing baskets for the raffle, fun vendors at the event, and additional activities at the discretion of the Director and chairs. Must be available for pre-planning and day of event work.
- PHAST Pharies: 1 Chair and 6 members. Responsible for chalking driveways and delivering goodies to all PHAST Phamilies. Chairperson will use myrouteonline.com to plan routes for 6 vehicles and also purchase bags, red and black sharpies, and small/cheap goodies for delivery. All 6 committee members must be available the evening before League to safely drive a small group of teenage swimmers to each PHAST home. No subs allowed
- Coach Appreciation - 1 Chair. Responsibilities include: planning, purchasing supplies, and organizing various events such as meals, treats, posters, etc. for our coaches. The main reason of this position is to spoil our coaches with a "lunch/ treat" once a week, for the 8 weeks of swim season (not pre-season). Fridays are best, set up around noon, clean up at 1.
- County Week Coordinator - 1 chair. Help with planning for County week, work with Coaches for daily events, Snack Shack Chair for breakfast. Be available to decorate on the first day of practice, create a fun county medal, ticket, etc.to give to the swimmers as a memory of their accomplishment. Coordinate with whoever is hosting the County Dinner.
- Kitchen Crew- 9 members. At the direction of the snack bar coordinator, prepares food (chopping lettuce/tomatoes etc) and/or shops for food for 6 home meets. Assists as needed with preparing/setting up the snack shack prior to meet.
